Privacy Policy

Human Systems Scan™ and digital services

1. Purpose of this policy

This policy explains how AV Mentoring collects, uses, stores and protects personal data through the Human Systems Scan™, information requests, optional communications and appointment booking. It applies to adults using these services from Switzerland or abroad.

3. Data we collect

Depending on the service, we may process: first name; email address; country of residence; Scan answers and educational outcome; date and record of privacy acceptance; optional marketing consent; messages voluntarily sent by email or WhatsApp; booking information; and limited technical data needed for operation and security. The Scan does not request a diagnosis, treatment, date of birth, postal address or detailed clinical history.

4. Why we process data

We use data to calculate and display the requested educational result; deliver or save it; answer enquiries about a Support Toolkit, Human Systems Assessment™ or appointment; improve content using aggregated information where possible; send news or offers only with separate consent; and maintain security.

5. Basis for processing

Processing needed to provide the requested result follows the participant’s request and prior notice. Because answers may indirectly reveal sensitive information, explicit agreement is requested. Marketing relies on separate, optional and withdrawable consent. Security processing may rely on the legitimate interest of operating the service safely.

6. Service providers and recipients

Access is limited to AV Mentoring and necessary providers: involve.me for the funnel, outcome and email; the host of av-mentoring.ch; Google for booking or meetings; Meta/WhatsApp for conversations initiated by the participant; and the professional email provider. AV Mentoring does not sell or rent personal data.

7. International transfers

Some providers may process data outside Switzerland, including in the EU or United States. Where required, AV Mentoring selects services offering appropriate contractual and security safeguards. Provider privacy notices describe their processing locations and protections.

8. Retention periods

First name, email, country, Scan answers, outcome and related acceptance record are kept for no longer than 6 months, then deleted or anonymised. Marketing consent remains until withdrawal; a minimal suppression record may be retained. Messages and booking data are kept only as needed for the purpose and applicable obligations.

9. Your choices and rights

You may request access, a copy, correction, deletion or restriction where applicable; withdraw marketing consent; and request an explanation or human review of the automated educational outcome. Contact info@av-mentoring.ch. Reasonable identity verification may be required.

10. Consent and communications

Required Scan checkbox: “I have read the Privacy Policy and agree that my answers may be processed to calculate and display my Human Systems Scan™ result.”

Separate optional checkbox, unticked by default: “I would like to receive occasional news, resources and offers from AV Mentoring. I can unsubscribe at any time.” Refusing marketing does not prevent completion or result delivery.

11. Security and confidentiality

AV Mentoring uses reasonable organisational and technical measures, including restricted access, strong passwords, enhanced authentication where available, data minimisation, periodic review and planned deletion. No digital service can guarantee absolute security.

12. Adults only

This Human Systems Scan™ pathway is intended only for people aged 18 or over. AV Mentoring does not knowingly seek data from minors through this funnel.

13. Emergencies and unsafe situations

The Scan, WhatsApp, emails and self-guided resources are not emergency services. In immediate danger, crisis or violence, contact emergency or specialist services in your place of residence.

14. Cookies and analytics

The site and providers may use technologies necessary for function, security and preferences. Optional analytics or marketing tools should be enabled only with appropriate notice and choice. The pilot limits tracking to what is necessary.

15. Changes to this policy

This policy may be updated when services, providers or obligations change. The published version shows its last revision date. Material changes will be communicated appropriately.
